Downloading the Template Importing the Users into the Domain

Scope:

This documentation will show you to properly import users and phones into a domain using a CSV file.

 

Requirements:

  • Reseller Access to Manager Portal
  • List of users and phone to import
  • Any application that will allow you to edit and save CSV files. Make sure the CSV file is a plain CSV and not a UTF-8 or any other encoded type.
 

Warning:

The import does not validate the information submitted. Be sure to review and clean up your data before importing.

 

 

Downloading the Template

  1. Navigate to the Users tab of the domain you are trying to edit and click on Import
  2. Go ahead and click on Download Template
  3. This will download the excel template needed to properly import users
  4. Fill out each column as follows
    • extension - Extension of the user
    • domain - Leave as default
    • first name - First name of the user
    • last name - Last name of the user
    • login - ext@domainname
    • email address - Email address of the user (If the user does not have an email address you can add a place holder such as info@info.com)
    • voicemail pin - Change to default VM Pin
      • (Minimum Digits for VM Pin: 4)
    • department - Change to desired user department if departments are being set up on the domain. Department and site names must be unique. 
    • vmail enabled - leave it as yes if the user is going to have VM
    • answer time - Change to user's desired ring time
    • timezone - Leave as domain default
    • caller id - Leave as default unless the user will have a different outbound CID
    • 911 caller id - Leave as default unless it is set to the incorrect E911 number
    • dial plan - Do not change as if it is different from the domain's dial plan the user will not be able to make calls
    • audio directory - Leave as yes if users will be included in AA Audio Directory
    • visual directory - Leave as yes if you would like the extension to appear as a BLF
    • vmail_transcribe - Update to google if the user would like voicemails to be transcribed and emailed to them and no to disable
    • email_vmail - leave blank if email_vmail_enable is set to no
      1. yes - send with a hyperlink
      2. brief - send with a brief hyperlink
      3. attnew - send an attachment and leave as new
      4. attsave- sent an attachment and move to saved
      5. atttrash - send attachment move to trash
      6. briefattnew - send a brief attachment and leave as new.
      7. briefattsave- send a brief attachment and move to saved
      8. briefatttrash- send a brief attachment and move to trash
    • email_vmail_enable - Set to no if you would like for voicemail to not be delivered to your inbox. Otherwise, set to yes
    • add phone extension - Mark as yes if the users if going to have a phone
    • scope - Type out the Scope of the user exactly as it shows in the portal ex: Office Manager, Basic User, etc.
  5. Repeat the above steps as many times as needed 
  6. Make sure to the excel sheet as a .CSV file as the PBX will not accept other file types

Importing the Users into the Domain

  1. Now that the excel sheet is set up go back to the domain
  2. Click on Import
  3. Now click on Browse and navigate to the directory of the excel sheet
  4. Now go ahead and click Upload and the users will now be imported into the domain
