Datagate: How to Export Invoices to Quickbooks Online

The following steps will show you how to export invoices from Datagate to Quickbooks Online.

 

 

Requirements

  • Access to Datagate 
     
  • Quickbooks Online Integration 
     
  • Products Created in Quickbooks Online
 

 

  1. Log in to Datagate
  2. Navigate to Invoicing

     
  3. Switch to Action Invoices

     
  4. Change Invoice status to Sent Manually
    1. Note: Invoices cannot be exported in the Generated Status 
       
  5. Select the invoices with the Generated status

     
  6. Click the Action Button and Select Mark as Sent
    1. Your invoices status should now show Sent Manually
       
  7. Select the invoices you want to export

  8. Click the Action Button and Select Export Invoices
     
     
  9. The Type of Export is going to be Quickbooks Online Multiline. Then click Export
     
  10. Go ahead and map the invoices following the mapping steps below:
    1. Services Mapping: The usage record types will be listed here for product mapping. You can select a separate Quickbooks Online product for each usage type or one for all record types
    2. Product Mapping: Select the Product you created in Quickbooks Online.
    3. Surcharge Mapping: Select the Surcharge Product in Quickbooks Online Or you can choose to combine it with the taxes.
    4. Tax Mapping: You can either select the different products for the taxes or combine them all into one product from here. You can also split them by State
    5. Existing Items: Decide if you want to Keep or Delete Existing Items
    6. Price Calculation: Keep as Summarized.
    7. Click Export.

       
  11. The progress bar will now show invoices being exported and will show you once completed.

    Invoices should now appear in Quickbooks Online. Make sure to confirm this before sending invoices to customers.
